Policies and Procedures

1. Introduction & Purpose

This document describes the guiding principles, policies, and procedures of Breastfeeding ICU. Its purpose is to ensure transparency and consistency in how services are delivered, to define expectations for both clients and the consultant, and to maintain compliance with professional and legal standards. It applies to all clients.

2. Communication

Clients may schedule via secure client portal, website submission form, email, or phone.

3. Insurance Coverage

- Breastfeeding ICU partners with The Lactation Network (TLN) for insurance verification and billing. Many plans provide 100% coverage, typically for about six visits.

- Clients will use the patient portal to verify coverage. After submitting their information, TLN will respond with an email confirming they are beginning the process. They typically send confirmation within 48-72 hours.

4. Fees and Payment

In the event your insurance company does not provide coverage through The Lactation Network, the client has the option to pay out of pocket. Consultation fees will be as follows

- In-person: $150 for 60 minutes; Virtual: $100 for 60 minutes.

- Co-pays or fees not covered by insurance are due at time of service.

- Acceptable payment methods: cash, check, venmo, apple cash.

5. Cancellation Policy

- Clients must cancel or reschedule at least 24 hours before the appointment to avoid a cancellation fee of 50% of the visit cost.

- No further visits will be scheduled until payment is made

6. Telehealth Procedures

- Virtual visits occur via a HIPAA-compliant video platform through the TLN client portal.

- Clients are responsible for reliable internet access and a charged device. Please also try to ensure adequate lighting for visual assessment.

- In case of technical difficulty, the consultant will attempt to reconnect up to 10 minutes; thereafter, the session may be rescheduled or switched to phone only, at the consultant’s discretion.

7. Client Responsibilities

- Sign consent form on website, Breastfeeding.ICU.

- Have any suggested equipment (e.g., pump parts) available if directed.

- Use the HIPAA-compliant channels provided for all health-related communication.

- Provide updates or concerns in a timely manner.

- Engage in any recommended follow-up activities (e.g., journaling feeds, trying techniques) and report back during the designated follow-up period.

8. Consultant Responsibilities

- Adhere to the International Board of Lactation Consultant Examiners (IBLCE) Scope of Practice and The Lactation Network guidelines.

- Create and submit notes via the TLN portal for each session in compliance with HIPAA and professional record-keeping standards.

- Provide the agreed-upon follow-up support via secure messaging or scheduled calls.

- Respond to follow-up inquiries within 48 business hours.

9. Emergency Protocols

- If you or your infant experience a medical emergency during a session, call 911 immediately.

- For urgent but non-life-threatening issues, contact your physician.

10. Equipment Use & Cleaning

Any pumps or accessories provided for demonstration are cleaned and sanitized between uses according to manufacturer instructions and CDC guidelines.

11. Confidentiality and Record Keeping

- All client records and communications are maintained under HIPAA standards.

- Electronic records are encrypted.

- Records are retained for a minimum of six years, in compliance with state guidelines

12. Complaints & Grievances

Submit any concerns in writing to Miranda Byrd. She will acknowledge receipt within 3 business days and provide a resolution timeline.

13. Amendments to Policies

- Breastfeeding ICU reserves the right to update policies and procedures at their discretion.

14. Acknowledgement

By scheduling or attending a consultation with Breastfeeding ICU, you acknowledge that you have read, understood, and agree to abide by these policies and procedures
